Congratulations! We’re excited that you’ve chosen to take the next step in your career at Novant Health. As you begin your journey with us, we are committed to ensuring you have everything you need for a seamless and successful start.

Important

You must "clear" your background check and pre-employment health screening before your orientation date to officially start working at Novant Health.

This page is designed to provide you with a general, at-a-glance roadmap of what to expect during the onboarding process, from the time you get your Novant Health offer letter (pre-employment) to your first week of employment. Your individual onboarding requirements may vary based on your job role and location.

You have your offer letter — now what?

Stay connected.

  • You’ll receive several emails from our team and partners. Check your inbox and junk folder regularly so you don't miss anything.
  • Most communications will come from a @NovantHealth.org email address.
  • Stay connected with your onboarding specialist. They'll help you make sure you’re completing all the right steps.

Track your progress on your new hire checklist.

  • You will be emailed a unique link to access your new hire checklist in the applicant/new hire portal. Keep this email handy for easy access to your checklist.
  • Log into the applicant/new hire portal using the same login info you created when you applied for your position.
  • In the portal, you’ll:
    • Find your personalized onboarding task list
    • Upload required documentation

Phase 1: Pre-employment

It typically takes about 10 to 14 business days to complete the following pre-employment requirements and be "cleared" to start working. To avoid delays, complete your requirements as soon as possible. Rehires will need to complete these same steps and submit the required documentation as well.

You’ll receive an email soon from our background screening provider. Within 24 to 48 hours of receiving this email:

  1. Create a new account.
  2. Complete the consent form to authorize your background check.
  3. Submit all documentation.

Beyond signing the consent form, there are a few more steps you’ll need to take before we can fully process your background check. The full background check process can take up to 10 business days — read the email carefully and complete all necessary steps as quickly as possible.

You will be emailed instructions for completing the first part of your I-9 form from our partner. This includes scheduling an appointment to complete the rest of your I-9 form in person.

  1. Schedule your I-9 verification appointment per the instructions in the email.
  2. Bring two forms of identification with you to your appointment. Refer to the Onboarding Toolkit for a list of acceptable documents.
  3. You’ll also have your badge photo taken during your appointment — make sure you’re photo-ready.

All new hires are required to complete a comprehensive pre-employment health screening. Your recruitment team will schedule your screening appointment. Check your email for details.

Before your appointment

  • Complete your health screening paperwork in the applicant/new hire portal. (Or if you prefer, you can arrive 15 minutes early to your appointment to complete this.)
  • Prepare all available immunization records. Don't worry if you can't track down everything. If records aren't available, you can provide a blood sample during your appointment (no fasting beforehand required).

Your appointment

Don't miss your appointment! Missed or rescheduled appointments may delay your start date. Please leave young children under the supervision of a trusted caregiver.

Bring your available immunization records. Plan to be at your appointment for around 1 to 1.5 hours. You will complete:

  • Urine drug screen
  • Immunization record review and blood draw (if applicable)
  • Health history review
  • Vision test (bring your prescription eyeglasses or contacts)
  • Personal protective equipment (PPE) fit testing (if applicable)

Remote team members

You will complete your screening remotely and go to a lab for your drug screen.

Throughout pre-boarding, work on submitting required new hires onboarding documentation as soon as possible. Log in to the iCIMS applicant/new hire portal to view and upload any required documents outlined in your checklist. These could include:

  • Proof of education
  • Licensure and/or certification
  • Employee credentials setup
  • Tax information
  • Direct deposit setup

Nurses/travel nurses

  • Nurses: If your new role at Novant Health means you’re moving to another state, you must apply for licensure in your new state within 60 days.
  • Travel nurses: It can take up six to 8 weeks to get licensed in NC. Take action as soon as possible.

Phase 2: Your first week of employment

Day 1: Attend orientation

Once you’ve completed your pre-boarding requirements and are cleared to start working, you can complete orientation and training.

Novant Health’s mandatory new hire orientation program, Starting Line, is held Mondays, 8 a.m. to 2:30 p.m. It is designed to:

  • Give you an in-depth view of our organization
  • Explain your benefits options
  • Connect you with fellow team members
  • Introduce you to our team culture

Orientation locations change occasionally on specific dates throughout the year when attendance is higher. Refer to your emails to confirm your orientation location.

Days 2-5: Training

Throughout the rest of your first week, you will need to complete various training courses and modules. Your new hire onboarding training requirements and schedule depend on:

  • Your role
  • Whether you are clinical or non-clinical
  • The area of the organization that you support (e.g., nursing or Novant Health Medical Group)

Benefits election

You have 31 days from your official start date to make your initial benefit elections. You will learn more about benefits during orientation and on our website.
